Office Assistant

Are you an exceptional multitasker, and detail orientated?

 

We are searching for an Office Assistant based in Sofia, Bulgaria with a keen eye for detail. You will have a high focus on administration assurance and your excellent communication skills will enable you to support our team in day-to-day tasks to facilitate the efficient operation of the organization.

Responsibilities

Your responsibilities:

The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. The daily tasks include:

  • Tracking and being accountable for all office-related documentation (Gather and follow vacations and sick leaves, invoices, documentation regarding additional health insurance, all documentation that follows a business trip, and other people management documents in one place and good sorted)
  • Responsible for office equipment and maintenance. Monitoring, requesting, and restocking office supplies & consumables, and equipment inventory when needed
  • Managing the day-to-day office operations and communication with employees, partners, institutions, etc.
  • Communication with courier services. Sending and receiving of shipments.
  • Contact with different people and organizations to arrange meetings or to achieve some management assignments
  • Calculate expenses for the office per month and make a statistic for longer period
  • Take care of office decorations and events during the year (Easter, Christmas, Halloween)
  • Capture and share company internal and external events, parties, initiatives, etc.
  • Communicate and support the EU office supervisors
  • Perform work-related errands as requested such as going to the post office, bank, etc.

 

 

Qualifications

Your profile: 

  • Previous experience will be an asset.
  • Confident and pleasant personality with positive and can-do character.
  • Creative and resourceful regarding ideas on how to improve office processes and culture.
  • Excellent communication skills - both written and spoken.
  • Good command of English - both written and spoken.
  • Ability to be multitasking but a good planner as well.
  • Good MS Office skills including Excel are a must.
  • A driving license is а must
